RULES FOR PARTICIPATION IN THE EVENT
„Future-proofing your business in a changing demographic and AI landscape”

§ 1. General provisions

1.    These terms and conditions (‘Terms and Conditions’) set out the rules for participation in the business conference ‘Future-proofing your business in a changing demographic and AI landscape’ (‘Event’).

2.    The Event is organised by the Stowarzyszenie Klaster ICT Pomorze Zachodnie [West Pomeranian ICT Cluster Association] (the ‘Organizer’) with its registered office at ul. Niemierzyńska 17a, 71-441 Szczecin. The Event is organised jointly with ERYK IT sp. z o. o. and Centrum Inicjatyw Gospodarczych Urzędu Marszałkowskiego w Szczecinie [the Centre for Economic Initiatives of the Marshal’s Office in Szczecin] as co-organizers (the ‘Co-organizers’).

3.    Participation in the Event is free of charge. Participation requires prior registration via the application Form available on the Event website: https://klaster.it/business-conference/. Registration constitutes the conclusion of a free of charge agreement to participate in the Event.

4.    The Event will take place on 31 March 2026 in Szczecin from 9:00 a.m. to 3:00 p.m. in the ‘Delfin’ conference room at the headquarters of the Marshal’s Office of the West Pomeranian Province in Szczecin at ul. Piłsudskiego 40.

5.    The Event will be conducted in English with simultaneous translation provided.

6.    Terms and Conditions are available on the Organiser’s website and may be made available during registration.

§ 2. Definitions

1.    Participant – an adult natural person participating in the Event who:

1)    has registered via the For;

2)    has accepted the Terms and Conditions:

i.     by completing the Form

or, at the latest,

ii.    by confirming their attendance at the Event with their signature on the relevant attendance list (no later than on the day of the Event);

3)    has received an email confirmation of participation in the Event from the Organizer;

4)    has confirmed their attendance on the attendance list kept by the Organizer before entering on the day of the Event. The attendance list contains the following data: the Participant’s first and last name and signature.

2.    Speaker – a person appearing in the Event programme (including moderators and panellists).

3.    Form – the registration form provided by the Organiser, referred to in §1(3) of the Terms and Conditions.

4.    Event Venue – the facility where the Event takes place, as mentioned referred in §1(4) of the Terms and Conditions.

§ 3. Registration and rules of participation

1.    Registration is done by completing the Form. The number of Event Participants is limited, and participation in the Event is determined by the order of registration. The registration deadline expires when the limit of Participants is reached, unless the Organizer extends the registration period.

2.    Confirmation of registration will be sent to the e-mail address provided in the Form.

3.    The Organizer may refuse participation or ask a Participant to leave the Event Venue in the event of a violation of the Terms and Conditions or safety rules at the Event Venue.

4.    The Organizer reserves the right to change the programme (agenda), the order of presentations and the list of Speakers for organisational or independent reasons.

§ 4. Rules of conduct and safety

1.    Participants are required to follow the instructions of the Event staff and comply with the rules of conduct applicable at the Event Venue.

2.    During the Event, any behaviour that disrupts the course of the meeting is prohibited, in particular aggression, hate speech, harassment, actions contrary to the law or good manners.

3.    Participants are liable for any damage caused by them at the Event Venue.

§ 5. Photographs and recordings (photo/video)

1.    During the Event, photographs and video recordings may be made for the purpose of preparing reports on the Event and promoting the activities of the Organizer and Co-organizers.

2.    The Organizer mainly publishes general reportage shots (e.g. the hall, the audience as part of a larger whole), therefore, the dissemination of the image of the Participants does not require their consent due to Article 81(2) of the polish Act of 4 February 1994 on copyright and related rights, which states that no consent is required for the dissemination of the image of:

1)    a person who is only a detail of a whole, such as a gathering, public event, lecture or landscape (general photos of conference rooms, audience, backstage);

2)    a person who is widely known, and the image was taken in connection with the performance of their public functions (including professional or social functions) during the Event.

3.    However, if the image of the Participant is to be used in portrait/close-up form as part of the coverage of the Event or in a such way that the Participant is the main element of the frame (not just the background), the Organizer shall obtain the appropriate consents for the dissemination of the image, depending on the circumstanances (this applies in particular to the image of Speakers).

4.    Participants are not permitted to record entire speeches or record and disseminate the image of other persons in a manner that infringes their rights, unless this is required by mandatory provisions of law or prior consent has been obtained from the person being recorded and the Organizer.

§ 6. Personal data

1.    The Organizer is the controller of the Participants’ personal data. Information on the processing of personal data (including purposes, legal bases, recipients and rights of individuals) can be found in the summary information clause in the Form and in the Organizer’s Privacy Policy available at: https://klaster.it/en/rodo/.

2.    Due to the co-organization of the Event, the attendance list referred to in §2(1)(4) of the Terms and Conditions will be forwarded to the Marshal’s Office as a separate data controller for purpose of fulfilling organizational and settlements obligations arising from purposes between the Organizer and the Office.

§ 7. Complaints and contact

1.    Comments regarding the organization of the Event may be sent to the following e-mail address: biuro@klaster.it.

2.    The Organizer shall respond within a reasonable time, taking into account the nature of the complaint.

§ 8. Final provisions

1.    The Organizer may amend the Terms and Conditions for important reasons (in particular organizational or legal reasons). The current version of the Terms and Conditions is published on the Organizer’s website.

2.    In matters not covered by the Terms and Conditions, the provisions of Polish law shall apply.

3.    The Terms and Conditions shall enter into force on the date of publication.
